AI Tools for Small Business Owners — What Actually Works

I've tested dozens of AI tools across my businesses. Most are overhyped. A few are genuinely transformative. Here's what actually works for small business owners who need results, not demos.
The Three Categories That Matter
Every useful AI tool falls into one of three categories: communication (drafting emails, responding to customers), content (creating marketing material), and automation(eliminating repetitive tasks). If a tool doesn't clearly fit one of these, skip it.
Communication: AI-Drafted Responses
The single biggest time-saver. If you answer the same 20 questions from customers repeatedly, an AI system with your business knowledge can draft responses in seconds. At Fernwood Hills, our RAG system handles 80% of guest inquiries with minimal editing.
Tools that work: custom GPTs with your FAQ loaded, or a proper RAG system if you have the technical ability. Tools that don't: generic chatbots with no business context.
Content: From One to Many
The best content AI tool is whatever turns one piece of content into five. Shoot a video → AI transcribes it → generates blog post, social captions, email newsletter, and pull quotes. This is where AI saves the most creative energy.
Automation: The Invisible ROI
The least glamorous category but the highest ROI. Automated invoicing, appointment reminders, follow-up emails, report generation. Each one saves 15-30 minutes per day. Stack five of them and you've reclaimed 2+ hours daily.
What I'd Recommend Starting With
If you do nothing else: set up an AI-assisted email drafting workflow. Use your existing email tool + an AI assistant with your business context loaded. Start reviewing AI drafts instead of writing from scratch. You'll save 1-2 hours on day one.
